Record your expenses

In short

Click Record expense, enter the seller, their invoice number and date, what you bought and the total on the bill, then click Save expense. You can note the GST already included in the bill and attach a private copy. It’s your record of the seller’s bill: Zetrr doesn’t claim input tax credit for you.

Expenses in Zetrr Invoice are records of bills you've paid or still owe, such as a microphone, software or travel. They sit next to your invoices, so your income report shows money in and money out together.

Record an expense#

  1. In Zetrr Invoice, go to Expenses and click Record expense. You can also click Create new on Invoices and choose Record expense.
  2. Under Bill details, enter the Seller on the bill. Pick a saved seller, or type a new one and keep Save … to my sellers for next time ticked.
  3. Enter the seller's Invoice number and the Bill date.
  4. Under What you bought, describe the Item and choose a Category: Equipment, Software, Travel, Production, Services, Office or Other.
  5. Enter the Total on the bill, including tax, and choose its Currency.
  6. Under Payment, choose Paid, Not paid yet or Part paid.
  7. If you like, use Attach the bill to add a PDF or photo, up to 4 MB. It stays private to your workspace.
  8. Click Save expense.

A preview of your record sits beside the form and updates as you type.

Add the GST on a bill#

Turn on GST if the bill shows GST. Enter the GST amount printed on the bill. It's the tax already inside the total, never added on top. The rate buttons give a quick estimate, but the amount on the bill is what counts.

  • Choose CGST + SGST / UTGST or IGST to match the bill.
  • Add the Seller's GSTIN. Zetrr checks its format and shows the seller's state.
  • If your GSTIN is printed on the bill, tick My GSTIN is printed on this bill and fill in Your GSTIN on this bill.

GST is recorded on INR bills only. For Amazon, Flipkart and similar orders, copy the legal seller printed on the bill, which may be a different business.

More options#

Under More options you'll find Business use (%) for things you also use personally, GST review status, and Equipment I'll use for years for cameras, laptops or lights. The review status is your own note, not a tax-credit decision or filing.

Pay later or fix a mistake#

Open the expense to see its Payments. Use Record a payment you've made when you pay the rest. This only records the payment; it doesn't send money. If you recorded something by mistake, use Void expense. The record stays, but it and its payments leave your reports.

The Expenses list shows Spent this month, Bills this month, Still to pay and GST on bills, in INR. Filter it with All, Unpaid and Voided. For totals over time, see See what you earned by month.

Questions

Does Zetrr claim input tax credit for me?

No. An expense is your record of the seller’s own bill. Zetrr doesn’t issue a tax invoice for it, decide whether credit is claimable or file anything. Check claims with your accountant.

Can I record a bill in another currency?

Yes. Expenses support INR, USD, EUR, GBP and AED. GST fields are available on INR bills only.

Where do saved sellers live?

On the Sellers page. A seller holds the legal name, GSTIN and an optional nickname. Editing a seller never changes expenses you’ve already recorded.
