Add and rename board stages

Where to edit stages#

Each board has its own stages. In Planner on the web, open the board you want to change, then go to Settings → Pipeline Stages. In the iPhone, iPad, Mac and Android apps, open the board and choose Edit stages.

Changes save straight away and appear on every device.

Add a stage#

  1. Click Add stage.
  2. Type a Stage name, such as Research or Final review.
  3. Pick an Icon and a Colour, or set a custom colour.
  4. Click Create stage. It's added as the last column.

Rename, recolour and reorder#

  • Rename: click the stage's name, type the new one and click away. Cards stay in the stage.
  • Icon: click the stage's icon and choose another.
  • Colour: click the colour dot (Change color) and pick a preset or a custom colour.
  • Order: use Move up and Move down.

Hide a stage#

Click Hide column to take a stage off the board without deleting it. Its cards appear in an Other column until you drag them into a visible stage. Click Show column to bring it back. You can't hide your last visible stage.

Delete a stage#

You can delete only stages you've added, and only workspace owners and admins see the delete button.

  1. Click Delete stage next to the stage.
  2. Under Move its cards to, choose the stage that should get its cards.
  3. Click Delete stage.

No cards are deleted. The built-in stages (Idea, Scripting, Script Done, In Production and In Editing) can be hidden but not deleted.

Good to know#

  • Your last stage is the finish line. Cards there show the Published button, and archiving a card from it marks it as published. Keep the stage where work finishes at the end.
  • The board's counts treat your first stage as ideas and every later stage as in progress.
  • Anyone with edit access to Planner can add, rename, reorder and hide stages. Viewers see them read-only.

Questions

Can I delete the Idea or Scripting stage?

No. The five built-in stages can be renamed, recoloured, reordered or hidden, but not deleted.

Do stage changes apply to all my boards?

No. Stages belong to one board, so each board can have its own columns.

What happens to cards when I delete a stage?

You choose another stage for them before the stage is deleted. Planner moves the cards there and never deletes them.
